You have the option to automatically apply a processing fee for customers who pay with a credit card, when accepting payments through Pool Brain.
Enabling Automatic Surcharging
Navigate to Settings --> Payment Processing.
Confirm the surcharging agreement text
Toggle on "Add surcharge fees on credit card payments."
If this switch is off, surcharging will never occur.
Creating a Payment with a Surcharge
When office staff or a customer makes a credit card payment on an invoice, the surcharge is calculated and shown as part of the total before the payment is completed.
The surcharge always appears as its own separate line item on the invoice, distinct from the invoice subtotal and from any tax on the underlying products or services.
Customers see the surcharge amount, and the full total that includes it, before completing a card payment. They can switch to a different payment method or cancel instead.
Debit cards, prepaid cards, and ACH payments are never surcharged, even if surcharging is turned on. Only eligible credit card payments can include a surcharge.
The surcharge will be automatically applied for any auto payment processed with a credit card.
How Surcharges Are Calculated
There are legal requirements around surcharging that vary by state, so the details work a little differently than a simple flat fee.
The surcharge rate is set automatically and can't be manually adjusted. It's based on your business's location and applicable card network and legal limits.
Only credit cards can be surcharged. Debit cards, prepaid cards, and ACH payments can never have a surcharge added.
Surcharging is only available where it's been approved for your state.
Maximum surcharge amount is capped at 3% in every case, to stay compliant.
Refunds: a refund of a surcharged payment also refunds the surcharge. An office user will need to remove the surcharge line item from the invoice before attempting to process a new payment on the invoice.
