Creating a Payment with a Surcharge
When a customer or office staff initiates a credit card payment directly from any invoice in Pool Brain, the surcharge amount will be calculated and display based on the payment amount. The payment amount is always the invoice balance due amount by default but this can be edited.
If a credit card payment is made that includes a processing fee, the additional fee will be added to the invoice as a non taxable line item. Both customers and office staff can clearly see this.
On invoices where a processing fee line item exists, any percentage based discount on the invoice will be automatically converted to an equivalent flat rate discount to avoid discounting the processing fee.
For route customers that are set to auto-pay monthly via credit card, the upcoming invoice will automatically contain a non taxable line item for the processing fee. Don't remove this fee from the upcoming invoice unless you don't want to charge the processing fee to the customer for that month.
How Automatic Surcharges are Calculated
There are strict legal requirements that must be followed to remain in compliance when surcharging. Every state has different laws surrounding this based on the location of where the service is being performed, maximum caps, varying amounts based on the actual processing fee being incurred, and more.
The surcharge amount is automatically calculated and can't be manually adjusted
Debit cards and ACH payments can never be surcharged (only credit cards can be surcharged)
Some states prohibit surcharging. In this case, no additional fees will be added for any reason, even if surcharging is turned on in settings (this is rare)
Maximum surcharge amount is capped at 3% in all cases to remain compliant
