Payments Report

Learn how to view, filter, and export your Payments report in Pool Brain.

The Payments report shows every individual transaction processed through Stripe, including its status and the customer it came from. It's useful for tracking down a specific charge or reviewing recent payment activity.


How to Access the Payments Report

Navigate to Reports --> View Stripe Reports, then select the Payments tab."

How to Read the Payments Report

The Payments report lists individual transactions as they're processed. This is particularly useful for:

  • Confirming whether a specific payment succeeded, was refunded, or ran into an issue

  • Looking up who a payment came from and when

  • Exporting payment activity for accounting or bookkeeping
    ​


Payment List

Each payment is listed with:

  • Date: when the payment was processed

  • Status: see Payment Statuses Explained below

  • From: the email address the payment came from

  • Amount: the payment amount


Payment Statuses Explained

These are the statuses Stripe's embedded Payments report can show. Not all of them come up often, most day-to-day activity will be Succeeded, Pending, Failed, or Refunded, but the full list is here for reference.

  • Succeeded: the payment completed successfully.

  • Pending: the payment is still processing. This is common for ACH payments, which can take a few business days to fully clear.

  • Incomplete: the customer started the payment but didn't finish it.

  • Failed: the payment attempt didn't go through, for example a declined card or a rejected ACH debit.

  • Canceled: the payment was canceled before it completed.

  • Refunded: the full payment amount was returned to the customer.

  • Disputed: the customer's bank reversed the payment through a dispute.


Filtering Payments

Narrow the payment list using the filter buttons: Amount, Email, Date, Status, and Payment method.

Exporting Payments

  1. Click "Export" to download the payment list currently shown on screen.

  2. Before exporting, customize which columns are included so the export has exactly what you need.


💡 For easier reconciliation with Pool Brain, we suggest selecting "All" as this option includes the following helpful columns:

  • Date, Amount, and Customer Email, the standard columns already shown on-screen

  • Description, which includes context like which invoice and charge type generated the payment

  • poolbrain_invoice_number (metadata), the Pool Brain invoice number the payment is associated with
