Create & Assign Trucks

Create your company vehicles in Pool Brain and assign them to technicians. Track which technicians are driving which vehicles, the tools and parts inventory, and other important details.

  • A left hand menu item named "Trucks & Tools" has been added

  • Click "ADD TRUCK" button to create a new truck

    • Name the truck anything you like for quick reference

    • Track make, model, year, color, license plate, and VIN #

    • Additional notes can be added such as where spare keys are stored

    • Add photos and select a cover photo


  • You can assign the truck to a technician either by editing the truck directly or from any Technician's profile page.

  • View all of your trucks in a "Grid" or "List" view

  • View Activity history for all actions taken when creating, editing, and assigning trucks


Create & Track Tools

You can now create tools in Pool Brain and add them to trucks or locations to track where they're at, how much they cost, their general condition, and more.

  • On the new "Trucks & Tools" page, click the "Tools" tab at the top to access the tools section

  • Click "ADD TOOL" button to create a new tool

    • Name the tool anything you want for quick reference

    • Track the cost and condition

    • Additional notes can be added

    • Add photos and select a cover photo

  • View all of your tools in "Grid" or "List" view

  • View activity history for all actions taken when creating and editing tools


Track Inventory Across Trucks & Locations (Phase 1)

We're excited to release phase 1 of our inventory management features! Phase 2 will include purchase orders, and direct ordering integration with Heritage Pool Supply. Phase 3 will include incremental inventory so you can deduct units from within a single inventory item. For example, deducting 4 tabs from a 50 pound bucket of tabs.

  • A new menu item named "Inventory" has been added to the left hand menu

  • Create locations and sub-locations to manage inventory anywhere you want or click the "Trucks" tab to manage truck fleet inventory

  • Add products or tools to any location or truck

    • Track inventory quantity

    • Track inventory cost

    • Track inventory purchase date

    • Add photos for any tool or product and choose a cover photo

  • View inventory in either "Grid" or "List" view

  • View activity history for all actions taken when managing inventory locations, products/tools, quantities, cost, transfers, date changes, and more.

  • When a one time job is completed in the app, technician will be prompted to confirm which parts were used on the job and in which quantities. Their truck inventory will be auto-updated based on what is entered.


    Note: The products on the job will be shown by default but they can add, edit, or remove anything as needed based on what was actually used. This will ONLY affect inventory count and never affect the billable products on the job. If you don't track inventory, your tech can simply tap "CONFIRM" to move on to the next screen.

  • On a one time job page in the web dashboard, tabs now exist for "Job Activity" and "Inventory". The inventory tab displays what the technician entered for inventory used on the job.

  • First In, First Out (FIFO) inventory rules

    When inventory is updated from a technician's truck after completing a job, Pool Brain deducts the quantity from the earliest purchased date for that item. This is standard in most inventory programs and ensures that the oldest inventory gets rotated out first.


New User Permissions

The following user permissions have been added:

  • Can view inventory

    User must have this permission to view Inventory page

  • Can manage inventory quantities

    User must have this permission to adjust inventory quantities

  • Can manage inventory locations

    User must have this permission to create or edit inventory locations

  • Can edit purchase date

    User must have this permission to edit the inventory purchase date for any item



PSI Reading Can Be Deactivated On Jobs & Route Stops

You can already make PSI readings required or optional on Jobs & Route Stops. Now, you have the option to deactivate PSI entirely so the technician doesn't see it in the app for any reason. We highly recommend NOT deactivating this on route stops but it makes sense for some companies to deactivate PSI reading on specific one time jobs.

You can deactivate PSI readings on service levels, route stop workflows, one time job templates, and one time job work flows.


API Improvements

  • Update (PUT) technician payroll ID field via our open API


Other Improvements

  • Job notes and customer notes field on Jobs and Route Stops is now expandable via click and drag
