"Canceling" a Customer's Route Schedule

What to do when a customer wants to cancel their maintenance services such as weekly cleaning, etc

When a customer who pays you monthly for ongoing maintenance services wants to cancel, you have two options:

  • Cancel immediately

  • Cancel on a specific date in the future

No matter which option the customer wants, you can easily cancel both the auto-billing and route scheduling in just a couple of clicks.


When customer says "Cancel immediately":

  • Open the Route Schedule for their property

  • Click the "Activate Route Schedule" toggle switch to deactivate the Route Schedule.

    • All scheduled route stops for the property will be removed (existing completed route stops won't be affected).

    • Invoices will no longer be auto-created for the property.

    • A confirmation window will display to give you the option to "Create Invoice & Deactivate" or "Delete Invoice & Deactivate".

      • If you select "Create Invoice & Deactivate" - the current upcoming invoice will become an active invoice, but it won't be emailed to the customer or processed for payment automatically. If you'd like to process a payment or email the invoice to the customer, you can do this manually on the invoice itself.

      • If you select "Delete Invoice & Deactivate", the current upcoming invoice will be deleted (this is most commonly used if you bill in advance and the customer has already paid for the services that were completed prior to canceling).

PLEASE NOTE: If a body of water has an active filter clean schedule or an active salt cell clean schedule, this will not be automatically deactivated when the route schedule is deactivated. When customer says "Cancel my services at the end of the month"
(or something similar):

  • Open the Route Schedule for their property

  • Click "Date" option for the "Ends On" section in top right corner

  • Select a date to automatically deactivate the Route Schedule and Billing Schedule. On this date, Pool Brain will:

    • Deactivate the route schedule

    • Remove all route stops from the Scheduling section (existing completed route stops won't be affected)

    • The upcoming invoice will be processed as usual based on your route schedule settings (invoice auto-created, payment auto-charged if on, invoice auto-emailed if on).

    • Automatic monthly invoices will no longer be created for the property

IMPORTANT:
โ€‹Be sure to set the "ends on" date for the day AFTER the final Route Stop will be completed.
