Import Customers from a file

Quickly bring your Customer list into Pool Brain using a .CSV, Excel doc, or other file formats

Not using Quickbooks Online? No worries! You can still quickly import your existing Customer list using a variety of file types.

How to Import Customers from a file

Step 1 - Prepare your data for import

  • You'll need an exported document from a separate program (an accounting software or different pool service software) that includes some or all of the following fields:
    ​

    • Customer Name

    • Address

    • City

    • State

    • Zip Code

    • Phone Number - formatted with numbers only

    • Email

    • Gate Code

    • Access Notes

    • Dog Info

NOTE: Each customer record must contain a first and last name and also an address. It will not import without this data.

Step 2 - Go to the Customers page in Pool Brain

Step 3 - Click the "Import Customers" button


​Step 4 - Add the file containing your Customer information. You can drag and drop the file, or click "Choose a file" and select the correct file.

​Step 5 - Match the column headers from your import file to the correct fields in Pool Brain. We use AI to suggest matches where possible so you just need to adjust if necessary.

This is IMPORTANT to get correct or you may spend time doing manual data correction after. Double check this before confirming.

Once all of the required fields are matched, click "Confirm matching and continue" button.

​Step 6 - Review and edit any errors. You can either do this in the pop up window, or edit your original file and re-upload. Once all errors have been corrected, click Finish.

Pool Brain will import your Customer data based on the file you uploaded and the fields you matched.
