Setting up your SEND FROM email address

You just need to update a few settings for Pool Brain to send emails using your email address and domain

By default, emails sent from Pool Brain use notify@poolbrain.com as the SEND FROM email address. If you prefer that emails sent from Pool Brain use your domain, there are a few steps to complete:

  1. Add a Send From email address in Settings> Email Settings

  2. Next, at the bottom of the email settings, click to view the DNS records that need to be added to your domain. Once these records are added to your domain, it will give Pool Brain permission to send emails on your behalf using the Send From email address you provided us.

  3. Login to your domain registrar (e.g. GoDaddy, etc) and add the three CNAME records.

These CNAME verification records do not change the way email is sent or received by your company - they are only used by email providers (e.g. Gmail, Yahoo, AOL, etc) to verify that you have provided Pool Brain with permission to send emails (using the Send From email address) on your behalf. That’s it!


Adding CNAME verification records to your Domain

  1. Login to your domain registrar (e.g. GoDaddy, Google Domains, Network Solutions, etc).

  2. Add 3 CNAME verification records and use the Name and Value information provided (see step 2 above to find the name and value info) by Pool Brain and save.

The name and value information required for your three CNAME records will be displayed in the format below in your Pool Brain account (example only, do not use the information in the image below):

Verify DNS

  1. After the new CNAME records have been saved, it can take several minutes to several hours to propagate and become available for verification by Pool Brain.

  2. Click the VERIFY DNS button to check your new CNAME records.

  3. After you successfully verify your DNS changes, Pool Brain will automatically start using your new SEND FROM email address.


Technical Info

These records are also referred to as DKIM (Domain Keys Identified Mail) email authentication records. DKIM is an internet industry standard created to help prevent other companies or individuals from sending email using your domain without your permission (also known as spoofing or phishing).

Adding the three CNAME records (DKIM records) to your domain proves to email providers that you have given Pool Brain permission to send email on your behalf - which will help ensure the emails sent to your customers are delivered and not marked as spam.


Instructions for Popular Domain Registrars


GoDaddy

IMPORTANT - When adding/pasting the Name portion of the DomainKey in GoDaddy, you must edit it in order for it to work properly. You will need to remove yourdomain.com at the end of it and leave the period at the end - see step 5b below.

To add CNAME records in GoDaddy:

  1. Sign in to your GoDaddy Domain Portfolio.

  2. Select Domain Edit Options next to your domain and then select Edit DNS. You may need to scroll down to see the Edit DNS option.

  3. Select Add to add a new record.

  4. Select CNAME from the Type menu options.

  5. Enter the details for your new CNAME record:

    1. Name: Click the copy icon next to the NAME field in Pool Brain and then paste into GoDaddy NAME field.

    2. IMPORTANT - Edit the Name: For example, if you pasted this name: sjjttqzd2q444sd2bp7q6pmbwqsitbds7._domainkey.yourdomain.com, you would need to remove yourdomain.com at the end of it and leave the period at the end: sjjgqzd2q555sd2bp7q6pmbwqsitbds7._domainkey.

    3. Value: Click the copy icon next to the VALUE field in Pool Brain and then paste into the GoDaddy VALUE field.

    4. TTL: The default setting is 1 hour and that works fine.

  6. Select Add Record to save your new CNAME record.

  7. Repeat for the 2nd and 3rd CNAME record.

Most DNS updates take effect within an hour, but could take up to 48 hours to update globally.


Google Domains (now Square Space)

IMPORTANT - When adding/pasting the Name portion of the DomainKey in Google Domains, you must edit it in order for it to work properly. You will need to remove ".yourdomain.com" (whatever your domain name is) at the end of it and be sure to remove the period as well - see step 5b below.

To add CNAME records in Google Domains:

  1. Log in to your Google Domains account.

  2. Under My domains, click Manage next to the domain used by the SEND FROM email address you want to use with Pool Brain.

  3. In the left sidebar menu, navigate to DNS.

  4. Under Custom resource records, enter the information.

  5. Enter the details for your new CNAME record:

    1. Name: Click the copy icon next to the NAME field in Pool Brain and then paste into Google Domains NAME field.

    2. IMPORTANT - Edit the Name: For example, if you pasted this name: sjjttqzd2q444sd2bp7q6pmbwqsitbds7._domainkey.yourdomain.com, you woud need to remove .yourdomain.com at the end of it (including the period in front): sjjgqzd2q555sd2bp7q6pmbwqsitbds7._domainkey

    3. Value: Click the copy icon next to the VALUE field in Pool Brain and then paste into the Google Domains VALUE field.

    4. TTL: The default setting is 1 hour and that works fine.

6. Click ADD

7. Repeat for the 2nd and 3rd CNAME record.

8. Return to Pool Brain settings and click the "VERIFY DNS" button to complete the process

Most DNS updates take effect within an hour, but could take up to 24 hours to update globally.


Network Solutions

To add CNAME records in Network Solutions:

  • Log in to your Network Solutions account, then navigate to the DNS management area for the domain used by the SEND FROM email address you want to use with Pool Brain.

  • Add a new CNAME record.

    • In the blank Alias field, enter the NAME. Click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • Select the Other Host radio button.

    • In the Other Host field, enter the VALUE. Click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

    • Click Continue.

    • Review your changes, then click Save Changes.

    • Repeat for the 2nd and 3rd CNAME record.

Most DNS updates take effect within an hour, but could take up to 48 hours to update globally.


Cloudflare

To add CNAME records in Cloudflare:

  • Log in to your Cloudflare account, then select the domain that you'll be updating.

  • At the top of the page, select DNS.

  • Click + Add record to add a new CNAME record:

    • In the Type dropdown menu, select CNAME.

    • In the Name field, click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • In the Target field, click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

  • Under Proxy status, click the orange Cloudflare logo to ensure that it's grey.

  • Click Save.

  • Repeat for the 2nd and 3rd CNAME record.

Most DNS updates take effect within an hour, but could take up to 48 hours to update globally.


eNom

To add CNAME records in eNom:

  • Log in to your eNom account and navigate to the domain management section for the domain you want to edit.

  • In the Edit Host Records section of eNom, enter the domain information.

    • In the Host field, click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • In the Record Type dropdown menu, select CNAME (Alias).

    • In the Address field, click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

  • Save.

  • Repeat for the 2nd and 3rd CNAME record.


IONOS (formerly 1and1)

To add CNAME records in IONOS:

  • Log in to IONOS and go to the Domains & SSL section.

  • Next to the desired domain, click on the gear symbol under Actions and select Manage Subdomains.

  • Next to the desired domain, click on the gear symbol under Actions and select DNS.

  • Click ADD RECORD and select CNAME.

    • Enter the NAME in the Hostname field: click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • In the Point to field, click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

    • Optional: Select the desired TTL.

  • Click Save.

  • Repeat for the 2nd and 3rd CNAME record.


DNS Made Easy

To add CNAME records in DNS Made Easy:

  • Log in to DNS Made Easy, then navigate to the DNS management section for the domain related to the SEND FROM email address you are adding to Pool Brain.

  • Under the CNAME Records section, click the + plus icon to add a CNAME record.

  • Enter the details.

    • For Name, click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • For Alias, click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

  • Click Submit.

  • Repeat for the 2nd and 3rd CNAME record.


Bluehost

To add CNAME records in Bluehost:

  • Log in to Bluehost, then navigate to the domain management page for the domain related to the SEND FROM email address you are adding to Pool Brain.

  • Scroll down to the Domain management section and click on DNS Zone Editor.

  • Under Add DNS Record, enter the details:

    • Host Record: click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • In the TTL field, enter a TTL if desired.

    • In the Type dropdown menu, select CNAME.

    • Points To: click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

  • Click Save.

  • Repeat for the 2nd and 3rd CNAME record.


Namecheap

IMPORTANT - When adding/pasting the Name portion of the DomainKey in Namecheap, you must edit it in order for it to work properly. You will need to remove ".yourdomain.com" (whatever your domain name is) at the end of it and be sure to remove the period as well - see step 5b below.

To add CNAME records in Namecheap:

  • Log in to your Namecheap account, then navigate to the DNS management screen for the domain related to the SEND FROM email address you are adding to Pool Brain.

  • On the Advanced DNS page, click Add new record, then enter your domain details.

    • In the Type dropdown menu, select CNAME.

    • Host: click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • Target: click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

  • Click the checkmark to save your changes.

  • Repeat for the 2nd and 3rd CNAME record.


iPage

To add CNAME records in iPage:

  • Log in to your Domains Dashboard.

  • On the dashboard, select the domain that you wish to update the CNAME record.

  • There are two views in the Domains dashboard - the Card and List views. Click on the view icons to switch to your preferred view.

  • Choose the domain you want to modify.

    • In the Card view, click the domain's Manage button.

    • In List view, click the domain or its gear icon on the right-hand side.

  • On the left sidebar, click on DNS & Nameservers.

  • On the DNS & Nameservers page, select the DNS Records tab.

  • On the DNS Records tab, click the blue + button icon that says Add DNS Record.

  • Enter the details for your CNAME verification record:

    • Host Name: click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • Content: click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

    • TTL: This record determine how long the server should cache content.

    • Priority: leave this blank.

  • Save.

  • Repeat for the 2nd and 3rd CNAME record.


Register.com

To add CNAME records in Register.com:

  • Log in to your Register.com account.

  • Locate the Advanced Technical Settings section and click Edit Domain Aliases Records next to CNAME.

  • Add a new CNAME record

    • NAME: click the copy icon next to the NAME field in Pool Brain and then paste into this field.

    • Points to: click the copy icon next to the VALUE field in Pool Brain and then paste into this field.

  • Click Continue, then Continue again to confirm your changes.

  • Repeat for the 2nd and 3rd CNAME record.


AWS (Route 53)

To add CNAME records in AWS:

  • Log in to your AWS dashboard.

  • In the left menu, click Hosted zones.

  • In the list of domains, select the domain related to the SEND FROM email address you are adding to Pool Brain.

  • Click Create Record Set.

    • In the right panel, enter the NAME ( copied from the NAME column in your Pool Brain account) into the Name field.

    • In the Type dropdown menu, select CNAME.

    • Next to Alias, select No.

    • In the Value field, enter the VALUE (copied from the VALUE column in your Pool Brain account).

    • By default, the Routing Policy is set to Simple. In most cases, you won't need to adjust this.

  • Click Create.

  • Repeat for the 2nd and 3rd CNAME record.
