Customizing Route Stop & Job Emails

Decide what is shown to your customers in the route stop or job email

Pool Brain will automatically send route stop emails after all job data (including photos) have synced from the app to the web dashboard. You can configure what information is shown to the customer using a combination of workflow item share settings and email template customization.

How to edit the Route Stop or Job Email Template

  • Navigate to the Email Center using the left side menu

  • Click "Templates" tab at the top right of the screen

  • Click the blue edit pencil icon next to the template named "Route stop email" or "One time job email"

  • You can directly edit anything you like using the template editor that appears

Adding Dynamic Content

Dynamic content tags can be used to add information that changes automatically based on certain variables like customer name, technician name, chemical info, photos, checklist items completed, and much more. The dynamic content tags for the subject and body of the email are different so make sure you're choosing the correct drop down menu to select them from.

To add dynamic content to your email:

  • Place the cursor where you'd like the dynamic content to go

  • Click the dynamic content dropdown text near the top right of the editor for either the subject line or body of the email

  • Select at dynamic tag for the information you'd like to appear (such as the customer's first name or the company phone number)

Adding Completed Workflow Items

You can control whether completed workflow items display in the customer email for route stops and jobs using the appropriate dynamic content tag.

If the "Work Items" dynamic content tag does not exist in the email template, no completed workflow items will be displayed for any reason. If the "Work Items" tag exists in the email template, the completed items will display or not display based on their individual share settings.

The "Work Items" content tag exists by default in the route stop and job email templates. However, if you want to remove it you can simply delete it from the template.

To add the completed workflow items content tag to the route stop email template:

  • Use the dynamic content tag named "Work Items" from the "Dynamic Content" drop down menu

  • ALWAYS place the "Work Items" tag inside the Body of Water content block in the email template where you want the item name and tech response to display

    (workflow items will always display where the "Work Items" content tag is located in the Body of Water content block)

    If the tag is placed outside the Body of Water ("WATERBODY_NAME") block, the system will ignore it and the workflow items will not be displayed.

  • Work item name, photos, and technician response will display in the customer email according to the item's share settings and your email template positioning

Once you're done editing your email template, don't forget to click the "Save Changes" button to save your changes.

Resetting Defaults and Previewing

Want to preview what the email will look like to your customers?
You can click the blue "send preview" text in the lower right corner at any time to send yourself an email preview using sample data for the dynamic content.

Made some big mistakes and want to start completely over?
You can click the blue "reset defaults" text in lower left corner at any time to delete all edits to the template and restart with fresh default data.
