Customer notes entered in app by tech can display in customer email
The new features below give you full control over which technicians are allowed to enter notes that the customer can see, whether the notes display in route stop emails and/or job emails and where/how they display within the email itself.
A new technician permission allows techs to enter customer notes in app that can be viewed in the customer email
In the Pool Brain app, technicians can tap an icon in the bottom menu bar during a Job or Route Stop to enter customer notes
They can be added/edited at any time throughout the jobOn a Job or Route Stop page in the Pool Brain dashboard, office staff can now access a "Customer Notes" tab in addition to the "Job Notes" tab
A new Dynamic Content option named "Notes to Customer" has been added on Job and Route Stop email templates in Settings. You can add this variable anywhere within the body of water content block to display Customer Notes in the email.
Customer notes will display in the email where you've placed the "Notes to Customer" content tag in the font size/type/color you specify for that tag
Photo captions entered in app by tech can display in customer email
A new technician permission now exists to allow photo captions entered in the app to display beneath the photo(s) in the customer email.
A new toggle setting has been added in the photo gallery section on Route Stops and Jobs. If toggle is ON, photo captions will display in customer email. This toggle is set on or off by default based on the permission setting for the technician who completed the job and can be adjusted by office staff manually at any time.
Captions display directly below each photo in customer email if the toggle setting was ON at time of email being sent to customer
One Time Job Improvements
Create a follow up/pushed job in one click
- "Reschedule" button displays when job is in "Completed" status. Using this will create an exact duplicate job in "Not Started" status, remove all products/services from the previous job (so no invoice is created yet), and change previous job status to "Closed".
- The products/services will remain with the new job and all history for what was done and by who on the previous job will be maintained properly.
- Indicators on both jobs will clearly show that it was rescheduled or created as the result of a reschedule.
- Activity history displays who used the reschedule button and when for each job
Schedule the job for a technician/route without leaving the page
You can always use the Scheduling section to do this but it is no longer required
When scheduling a job using the "Move" window on Job or Scheduling pages, a date picker will now display if you click directly on the date instead of using the left/right arrows.
Auto-calculate bonus pay for techs covering other tech's Route Stops
"Covered Route Stop Bonus" option has been added to Technician Pay Settings
You can set a custom percentage to pay technicians a bonus amount if they complete a route stop that is not normally on their scheduled route (aka covering for someone else)
If a technician completes a Route Stop while it's in "one time moved" status, this will be considered eligible for the covered route stop bonus pay
For example, if a technician would normally get paid 10.00 to complete the route stop but the covered bonus pay is set to 20% and the route stop was completed while in "one time moved" status, the technician would instead be paid 12.00 on that route stop.Route Stop pages will now display text that says "Covered Visit" if they were completed in one time move status
Payroll report improvements
Added columns to pay report to show if a route stop was marked as "no access" or if it was in "one time moved" status when completed
Added a "Summary" tab to company level pay report that shows at a glance totals for each technician on the following:
- Total completed Route Stops (normal)
- Total completed Route Stops (one time moved)
- Total completed Route Stops (No Access)
- Total completed Jobs
- Total Route pay
- Total Job commission pay
- Total combined pay
View and manage your email suppression list
A new tab has been added to the Email Center named "Suppression List"
When an email you send hard bounces or gets marked as spam/phishing by the recipient, it is automatically added to a suppression list to prevent further email attempts.
You can view all emails that have been added to the suppression list including when they were added and why
You can remove any email(s) from this list individually or in bulk
Control whether customers can pay with only CC, only ACH or both
Toggle controls have been added in Settings to allow customers to pay with Credit Cards, ACH, none or both
Any options toggled ON will display as an option for customers to pay with using the "PAY NOW" button on invoices sent from Pool Brain
If both options are toggled OFF, the "PAY NOW" button will not be visible on customer facing invoices
The toggle options will not affect which options your office staff have to pay an invoice automatically or manually
General app improvements
Icon bar now appears at the bottom of all screens in a job or route stop
Issue Reports and Job Notes now have their own separate icons and screens
The equipment button on route stops now displays as an equipment icon the same way it currently does on one time jobs
The gallons button has been removed from the work in progress screen since the gallons calculator / gallons amount now exists in the Chemicals section
Image automatic upload process has been optimized to be even faster
Miscellaneous improvements
Commission pay is automatically reduced if a discount exists on the job.
Pay reduction is directly proportional to the discount amount. For example, if a discount exists on the job that reduces the total by 10%, then commission pay will be reduced by 10% as well.
5 new user permissions exist that can prevent office staff from exporting customer, job, quote, invoice and payment reports
If an office user does not have the "Can delete invoices" permission, the "Deactivate & delete invoice" button will now be disabled when deactivating a route schedule
Manually sending Route Stop emails is no longer done from the "Email Summary" button. The button has been removed and an envelope icon now exists in the top left corner of a Route Stop URL the same way it currently does on a One Time Job URL.
The thumbs up/down feedback icons in customizable email templates now have a transparent background. This allows for greater customization options to match your brand perfectly. You may need to re-add the icons from the Dynamic Content menu or reset the template defaults to see the change.
