Notifications, requirements when changing status & default notes

Create and send quotes in the app or on the web. Add pictures and labels to any line item. Customers can approve or deny with a tap. Quotes automatically become jobs when approved.

Setup for Quotes is flexible and simple. Here are the options:

  • Require users to enter notes when changing status (toggle on or off)
    When office staff changes the status of a quote to any other status (Approved, Denied, Open, Closed), this will require them to enter notes explaining why the status was changed, who approved the quote, etc.

  • Notify office when customer approves quote (toggle on or off)
    When quotes are emailed to customers, they can approve or deny them by clicking a button on the quote.

    • You can choose which email address(es) you want notifications sent to when quotes are approved by customers.

    • You can add as many email addresses as you want

    • You will not receive email notifications when office staff approves a quote.

  • Notify office when customer denies quote (toggle on or off)
    When quotes are emailed to customers, they can approve or deny them by clicking a button on the quote.

    • You can choose which email address(es) you want notifications sent to when quotes are denied by customers.

    • You can add as many email addresses as you want

    • You will not receive email notifications when office staff denies a quote.

  • Default notes
    Notes entered here will be added by default to the bottom of every quote created.

    • Notes can also be manually added or changed on each quote at any time by office staff.

Go to SETTINGS to setup or modify your settings for Quotes.


Quote Templates

Create a Quote Template

  • Click the Add + icon to add a Quote Template

  • The Template window opens

For each Quote Template, you can enter the following:

  • Template Name
    Click the template name in the middle of the top blue bar to edit this.

    This is what users will see and select when choosing which template to add to a quote

  • Quote Title
    Technician can see this in app and users can see this on web for easy reference and in quote lists, etc. It's a brief description of the overall job. Example: Tristar Pump Install & Acid Wash

  • Quote Notes
    Notes appear on the Quote for Customers. Technicians can't see this in app.

  • Office Notes
    Only office users on web can see this when viewing the job directly. Technicians can't see this in app.

  • Tech Notes
    Technicians can see this in app.

  • Products & Services
    Add any products, services or bundles to the quote and set appropriate quantities, etc.

  • Discounts
    Add any discounts that should apply to the quote.
