All the ways invoices can be created (automatic monthly, automatic when closing jobs, manually on demand)

Create an invoice manually

  • To create an invoice on demand for anything you want, click the green + button at the top of the page and select "Invoice" from the options that appear.
    ​

  • A window will appear where you can search for and select the customer and address you are creating the invoice for. Once selected, click "Create Invoice" button.

  • The invoice will be created immediately and you'll see the invoice page

  • Add a line item to the invoice by clicking the "Add +" button and searching for the product or service you'd like to add. If the product/service name doesn't exist, you can choose to create it.

  • When done, you can email the invoice to the customer (envelope icon), print the invoice (printer icon), or create a PDF of the invoice (PDF icon).

Auto-Create An Invoice When Closing A Job

  • If a one time job has products and services attached to it when it's status is changed to "CLOSED", an invoice will automatically be created with those same products/services. Jobs that don't have products and services when they're closed will never create an invoice.

  • Jobs that have been completed will display in the "needs to be closed" box on the Reports page (click "Reports" from left side menu to access it)

  • A job that has been completed will display a "CLOSE & INVOICE" button. Clicking this button will immediately change the job status to closed and create an invoice if products/services exist on the job.

  • You can also change the job status to "CLOSED" at any time by clicking the status menu and selecting "CLOSED" even if a job isn't currently in "COMPLETED" status.

  • Once the job is closed using either method, an invoice will be automatically created for the job and a link to the invoice will appear on the job. You can click the link to view the invoice page and make edits, take payments or send the invoice if you choose.




Create Monthly Invoices Automatically

  • Monthly invoices will be automatically created based on the route schedule settings for any property as long as billing is activated in settings, a service level has been assigned and a type has been assigned.

  • Upcoming invoices will always exist to show the amount to be charged for next month. You can view and edit upcoming invoices at any time.

  • On the date set in the route schedule for a property, the system will convert the upcoming invoice into a customer invoice, auto-charge the selected saved payment method (if applicable), and auto-email the invoice receipt (if applicable).
