Quote -> to Job -> to Invoice Lifecycle

Learn how approving a quote automatically creates a job and how closing that job automatically creates an invoice in Pool Brain.

When a quote is approved, Pool Brain automatically creates a one-time job. When that one-time job is closed, Pool Brain automatically creates an invoice. This automation eliminates manual data entry, saves your office staff time, and creates a clear linked record of what happened and when - from the original quote all the way through to the invoice.

The Lifecycle

1. Quote Created

A quote is created and sent to the customer for review.

2. Quote Approved, Denied, or Closed

  • If the quote is approved - a one-time job is automatically created in "Not Started" status. All relevant details from the quote carry over to the job automatically. A link to the newly created job will appear directly on the quote for quick navigation.

  • If the quote is denied - no one-time job is created. The quote remains on file for reference.

  • If the quote is closed - no one-time job is created. Closed indicates the office is no longer following up on the quote.

3. Job Scheduled

When the one-time job is automatically created it will be unassigned - add it to the appropriate route so it can be assigned to a technician and completed in the app. A link back to the original quote is available directly on the job.


4. Job Completed

The technician completes the job in the app. Office staff can also manually update the job status to "Completed" from the web dashboard if needed.


5. Job Closed

Once the job has been completed, it is closed by office staff. Office staff can change the job status to "Closed" or click the "Close & Invoice" button to close it and create the invoice in one quick step.

6. Invoice Created

An invoice is automatically created with the products and services present on the one-time job when it's closed.


The invoice is linked directly to the job and the job is linked directly to the invoice - making it easy to navigate between all three records at any point. Invoices created from one-time jobs must always be sent manually - they will never be auto-charged or auto-emailed.
