Automatic Follow-Up Emails for Quotes

Learn how to set up auto-follow up emails for open quotes in Pool Brain to close more quotes, with no extra effort.

Pool Brain can automatically send follow-up emails to customers and your office staff when a quote remains in "Open" status. Follow-up emails stop automatically once the quote is approved, denied, or closed.


How It Works

Automatic follow-up emails are triggered based on the number of days since the quote was created. You can set up multiple emails at different intervals with no limits.

For example, you could send a gentle reminder to the customer at day 3, another at day 7, and a notification to your office staff at day 12 with instructions to call the customer.


How to Turn On Automatic Quote Follow-Up Emails

Office Staff - Web Dashboard

  1. Navigate to the "Email Center" --> "Automatic Emails".

  2. Click the "Open Quotes" tab.

  3. Toggle on "Auto-Send."


Technicians - App

Automatic email settings cannot be configured in the mobile app.


How to Add or Edit Follow-Up Emails

Office Staff - Web Dashboard

  1. Navigate to the "Email Center" --> "Automatic Emails".

  2. Click the "Open Quotes" tab.

  3. Click "Add Reminder" to add a new follow-up email, or click the "pencil icon" next to an existing row to edit it.

  4. Set who to send to - the customer's billing contact, primary contact, or an internal email address.

  5. Set the number of days after quote creation to send the email.

  6. Set the time of day to send.

  7. Customize the email subject and content as needed.

  8. Click "Save."

How to turn Automatic Follow-Up Emails on or off for a Specific Customer

Hover over the customer name at the top of the customer profile and click the "envelope icon" that appears.
