User Roles & Permissions

Control what your office staff can view and manage from the web dashboard

In Pool Brain, you can assign User Permissions for office staff, manager and admin users who use the web dashboard in Pool Brain. You can customize this for each User individually.

User permissions are not the same as technician permissions which control what techs can view and manage in the mobile app.



User Management

User Permissions can be configured in User Management.

To edit User Permissions:

Step 1: Go to the User Management page. Click on the drop down arrow next to your name in the top right corner and choose "User Management" from the menu.

Step 2: Click "Edit" next to the User you want to change permissions for

Click Edit to edit User Permissions

Step 3:

Choose a role. Pool Brain assigns default permissions based on that role, but you can edit these for an individual user if needed. The Admin role has additional capabilities no other role has.

  • Admin - In addition to always having access to all user permissions, the Admin role is the only role that can access "Settings" for the company. It also the only role that can create other Admin users.

  • Manager - The manager role has different default permission settings but they can be changed to anything you want.

  • Staff - The Staff role has different default permission settings but they can be changed to anything you want.

User Permissions List

  • Can customize alerts

    User must have this permission to view the Customize Alerts page and edit any alert settings.

  • Can edit data on jobs

    User must have this permission to edit any data on Jobs or Route Stops, including changing the status.

  • Can delete job

    User must have this permission to delete jobs (and all associated job data)

  • Can view/edit payroll

    User must have this permission to view the "Pay" section on a Technician Profile page or edit technician pay settings such as the "Role" and "Payroll ID"

  • Can create invoice

    User must have this permission to create an invoice

  • Can edit invoice

    User must have this permission to edit an invoice

  • Can delete invoice

    User must have this permission to delete an invoice

  • Can create products/services

    User must have this permission to create new products or services

  • Can delete products/services

    User must have this permission to delete existing products or services

  • Can view route profit report

    User must have this permission to view the route profit report which displays invoiced amount, chemical spend, tech pay, profit amount, and profit percentage

  • Can delete other user's customer notes

    Any user can always delete their own notes but can't delete other user's notes unless they have this permission

  • Can view commissions on jobs & quotes

    User must have this permission to view commission details on any Job or Quote

  • Can edit commissions on jobs & quotes

    User must have this permission to edit commission details on any Job or Quote

  • Can dismiss alerts

    User must have this permission to dismiss alerts

  • Can bulk dismiss alerts

    User must have this permission to dismiss alerts in bulk by using the "DISMISS ALL" feature on the Alerts page. They can still dismiss alerts individually if they have the "Can dismiss alerts" permission active.

  • Can export customer report

    User must have this permission to export customer report to Excel

  • Can export job reports

    User must have this permission to export job reports to Excel

  • Can export quote reports

    User must have this permission to export quote reports to Excel

  • Can export invoice reports

    User must have this permission to export invoice reports to Excel

  • Can export payment reports

    User must have this permission to export payment reports to Excel

  • Can manage Automatic Email settings

    User must have this permission to access the "Automatic Emails" section of the Email Center. They can also make settings changes in this section.

  • Can manage Email Templates

    User must have this permission to access the Email Templates section in the Email Center. They can also make settings changes in this section.

  • Can manage Trucks & Tools

    User must have this permission to view Trucks & Tools page and make settings changes on these pages

  • Can view Inventory

    User must have this permission to view Inventory page

  • Can manage Inventory quantities

    User must have this permission to adjust inventory quantities

  • Can manage Inventory locations

    User must have this permission to create or edit inventory locations

  • Can edit Inventory purchase date

    User must have this permission to edit the inventory purchase date for any item
