Products and Services
On the Products & Services page, you can create and manage a list of all of the things you sell. Products and Services can be added as line items on quotes, jobs, and invoices.
Products - physical items you sell (filters, pumps, o-rings, etc)
Services - actions you get paid for (labor, pool draining, filter cleaning, etc)
Bundles - any preset combination of products and services
Category - organize your products, services, and bundles in categories
Products, services, and bundles can be organized in categories and sub-categories. If no category is assigned to the product or service, it will be assigned to "Uncategorized" by default.
Create a New Product
Click "Products & Services" from left side menu to navigate to the Products & Services page
Click "Add New +" in upper right corner
Click "Product" in the menu that appears
Enter Product Information
Name - What you and your customer will see as the line item name when added to quotes, jobs, and invoices.
Example: Skimmer Basket, Whisperflo Go-Kit, Hayward Tristar VS Pump, etc.Description - What you and your customer will see as the line item description when added to quotes, jobs, and invoices.
Example: Brand new seals for a Pentair Whisperflo pump including lid o-ring, seal plate o-ring, diffuser o-ring, and shaft seal.
Part Number - The manufacturer's part number for the product.
Example: W3SP3206VSP
Cost - The amount you pay to purchase the product
Price - The amount you charge the customer for the product (per item quantity)
Markup - Click the blue "Use price markup" text to assign a price markup percentage based off the entered "Cost" amount. If a markup percentage is set for a product, the price will automatically update any time the cost or the markup percentage is changed for that product. If a markup percentage is assigned to a Category, you can select the category from the drop down menu and the category markup % will be auto-assigned to the product (but can be changed for specific products if desired regardless of category).
Example: If the product has a cost of $10.00 and you set a markup percentage of 50%, Pool Brain will automatically change the price amount to $15.00 because $15.00 is 50% more than $10.00. Then, if the cost is later change to $20.00, Pool Brain will automatically change the price amount to $30.00, and so on.Charge Tax - Use the "charge tax" checkbox to indicate if tax should be charged for this product
Category - Select an existing category or sub-category for this product. You can use categories to clearly organize products by a certain category type.
Example: O-rings & Seals, Pumps, Filters, White Goods, etc.Add Photos & PDFs (optional) - Click the photo icon to add photos & PDFs to the product. These photos & PDFs will display for the line item automatically when added to quotes in Pool Brain. Both office staff and customers can see these files on the quote line item.
Quickbooks Settings - If you're using the QBO integration and have the "Sync products & services" toggle turned on in Pool Brain settings, you can select specific Income and Expense accounts to associate the product with in QBO. The accounts that already exist in QBO will display in the corresponding dropdown menu and if you want to create a new income or expense account, you'd need to do that in QBO. You can also update this for ALL products in bulk in Pool Brain settings.
Click "SAVE" button to create the product
Create a New Service
Click "Products & Services" from left side menu to navigate to the Products & Services page
Click "Add New +" in upper right corner
Click "Service" in the menu that appears
Enter Service Information
Name - What you and your customer will see as the line item name when added to quotes, jobs, and invoices.
Example: Labor, Filter Clean, Salt Cell Clean, Drain Pool, etc.Description - What you and your customer will see as the line item description when added to quotes, jobs, and invoices.
Example: Clean salt cell using a mixture of water and muriatic acid to remove all calcium build up. Includes disconnecting the cell unit from the plumbing, cleaning the cell, reconnecting it to plumbing, and verifying no leaks exist.
Duration - Enter the average amount of time you expect the service to take. When the service is added to a job, the duration of the job will automatically increase based on the duration you have set for the service. Office staff will be able to view service and job durations but customers can't.
Example: If a job is set to a duration of 1 hour and you add a service named "Salt Cell Clean" that has a duration set for 30 minutes, the job duration will automatically adjust to 1 hour and 30 minutes. If you then change the quantity of the "Salt Cell Clean" service line item from 1 to 2, then the job duration will auto-update to 2 hours, and so on.Office staff will also be able to view the "work time" on every route in the scheduling section to make sure routes aren't overloaded or underloaded. Work time is the total duration of all jobs and route stops assigned to the route.
Cost - The amount you pay to complete the service (per quantity). Typically, this is your labor cost and the quantity would represent 1 hour or a fixed amount for the service.
Example: If you pay your technicians $50.00 per hour for a service, you would set the cost to $50.00 and when you add the service as a line item on a quote, job, or invoice, you can adjust the quantity to represent the amount of hours you expect the service to take. Alternatively, you can set a flat rate amount you pay your techs for completing the service and not adjust the quantity.Price - The amount you charge the customer for the service (per item quantity)

Edit a Product or Service
Go to Products and Services page
Find the product or service in the category menus or search for it in the top search bar
Click the product or service you want to edit
Edit any information needed and click "SAVE" button to save your changes
Editing a product, service, or bundle will NOT affect line items on existing quotes, jobs, or invoices. Changes will apply to newly created line items.
Changes will apply to existing quote, job, filter clean, and salt cell clean TEMPLATES.
